TeachPassport for Schools Terms

The service

TeachPassport for Schools is operated by Buddy Labs LLC for a school, charter operator, district or similar organization that keeps a certification register. Each organization gets unlimited staff, sites, administrators, verification records and rechecks. A 14-day free trial starts when the organization is created, with no card required.

The register includes a staff roster with CSV import, dated verification records with optional screenshot evidence of the official state lookup, a recheck schedule with a weekly digest and expiry alerts, a standing summary and New York charter cap panel where applicable, a staff certification list as CSV and PDF, and an activity log. Features not listed here are not included.

Price, renewal and cancellation

The price is $49 a month or $490 a year per organization, plus any required tax, paid by card through Stripe. The service renews for another term at the disclosed price until the organization cancels. TeachPassport sends a plain pre-renewal notice for annual terms, and cancellation from the billing page stops the next renewal without ending the current paid term early.

After a paid term ends, the register stays read-only for 30 days, during which the organization can still export its data. After 30 days, the organization's data is deleted unless a documented legal hold applies. Duplicate charges, non-delivery, a material service failure TeachPassport cannot correct and refunds required by law are refundable. Government, testing, fingerprinting, transcript, course and other third-party charges are not included.

Organization authority and administrators

The person accepting these terms confirms that they are authorized to act for the named organization. The organization is responsible for choosing its owner and administrators, keeping their work-email accounts secure with multifactor authentication, removing access when it is no longer needed and ensuring the information entered is accurate and appropriate for certification record-keeping.

Employee information

TeachPassport for Schools accepts only the employee facts needed for the register: name, role, site, jurisdiction, employment status, start date, an optional certificate number, and dated verification records with the certificate type and status, effective and expiration dates as printed, and an optional screenshot of the official lookup result. Do not enter Social Security numbers, birth dates, passwords, fingerprint records, background reports, full identity documents, medical information or free-text case notes.

Official decisions and product boundaries

Administrators open official state sources themselves and manually record what the public lookup shows. TeachPassport performs no hidden public-record review and does not query any state system on the organization's behalf. The relevant state agency decides certificate status, and a public lookup is not an assignment, employment or legal-readiness decision. TeachPassport does not guarantee a certificate result, decide compliance, or provide legal representation, disciplinary or criminal-history analysis, or foreign-credential evaluation.

Acceptable use and availability

The organization may use TeachPassport for Schools only for its own certification record-keeping. It may not scrape, resell or republish the service; bypass access controls; upload malicious material; use another person's account; or use TeachPassport to make an unlawful employment decision. TeachPassport may suspend unsafe or unauthorized access.

Privacy, security and deletion

The TeachPassport for Schools Data Processing Addendum describes TeachPassport's handling of organization-directed employee information. The organization owner may request deletion at any time; deletion follows the 30-day read-only retention period described above unless a documented legal hold or a narrow legal, security or completed-transaction obligation requires limited retention.

Changes, governing law and contact

TeachPassport may update these terms prospectively. Material changes will be identified before a new acceptance or renewal. These terms are governed by the laws of the State of Georgia. Questions may be submitted through the support inbox.
